Why Every Team Has the Same Three Communication Problems

Last week, I had the privilege of returning as a keynote speaker for the wonderful Byron and Beyond Networking community.

It was particularly special because the last time I spoke at one of their events was eight years ago. To see founders Rosemarie and Arnold still going strong, and now expanding across other regions of the Mid North Coast, is a testament to the power of relationships and genuine human connection.

Their community brings together people who understand that business is ultimately built on trust, learning and helping one another succeed.

The Real Problem Most Teams Face

Most teams don't struggle because people aren't capable.

They struggle because people don't fully understand each other.

What appears on the surface as:

  • Personality clashes

  • Frustration

  • Conflict

  • Disengagement

  • Misunderstandings

  • Lack of accountability

  • High turnover

Often comes down to three underlying breakdowns:

1. Communication

People are talking, but they're not being heard.

Different people process information differently. Some want speed and outcomes. Others want discussion. Some focus on people and relationships, while others need facts and certainty.

Without understanding these differences, conversations become harder than they need to be.

2. Trust

When communication breaks down, trust starts to erode.

People begin making assumptions, become defensive, withhold information or stop speaking up altogether.

Without trust, collaboration becomes difficult and psychological safety disappears.

3. Clarity

When trust declines, clarity follows.

Expectations become unclear.

Decision-making slows.

People start second-guessing each other.

Performance suffers.

It looks like many different problems, but underneath, the issue is often the same.

Communication → Trust → Clarity

Fix these three things, and most teams become healthier, faster and easier to lead.

During my keynote, the leaders and business owners attending explored practical ways to strengthen communication and build stronger cultures. They walked away with:

A clear understanding of their own communication style and the styles of others.

Practical tools to adapt conversations in real time.

A shared language that reduces tension and misunderstandings across teams.

Greater psychological safety and trust.
